We are seeking an experienced Executive Assistant to provide confidential and professional support to the General Manager and Mayor, while contributing to the effective administration and governance of Council.
Position Overview
The Executive Assistant is a full-time position reporting directly to the General Manager.
This important role provides executive, administrative and secretarial support to the General Manager and Mayor. The position is also responsible for coordinating Council meeting documentation, civic functions, correspondence, statutory reporting and other core administrative activities.
Key Responsibilities
- Prepare correspondence, reports and other documents on behalf of the General Manager and Mayor.
- Coordinate Council meeting business papers, reports and attachments.
- Distribute Council business papers and publish relevant documents on Council’s website.
- Attend Council meetings, operate the meeting livestream and record minutes in real time.
- Finalise and distribute official Council meeting minutes.
- Maintain Council’s Minute Register and Outstanding Resolutions Report.
- Coordinate Council meetings, citizenship ceremonies and civic functions.
- Act as Council’s contact for the host organisation coordinating the Shire’s Australia Day activities.
- Coordinate travel and accommodation for the General Manager, Mayor and councillors.
- Maintain Council’s Policy Register and monitor policy review dates.
- Manage incoming correspondence and distribute it to the appropriate Council officers.
- Maintain records in accordance with the State Records Act 1998 (NSW).
- Assist with Integrated Planning and Reporting documents and Council’s Annual Report.
- Prepare statutory governance returns and reports, including Public Interest Disclosure and Code of Conduct reporting.
- Undertake research and other administrative duties for the General Manager
Candidate Profile
The successful candidate will be highly organised, professional and able to manage sensitive and confidential information appropriately. They will have strong written communication, document preparation and minute-taking skills, together with the ability to manage competing priorities and deadlines.
Essential
- Certificate III in Business Administration or demonstrated experience providing executive support at a senior level.
- Current Class C Driver Licence.
- Demonstrated experience providing senior-level executive support.
- Experience in agenda preparation, minute-taking and report compilation.
- Advanced skills in Microsoft Word and other Microsoft Office applications.
- Demonstrated ability to manage confidential information professionally and sensitively.
Desirable requirements
- Certificate IV in Business Administration.
- Experience working in local government or a similar environment.
